A student’s wallet holds money they’ve paid in advance or paid too much, ready to be used on their invoices. The balance is in UZS and never goes below zero. You’ll find it on the Wallet tab of the student’s page. By default, owners, admins and managers can see the wallet and top it up. Only owners and admins can correct the balance or use it to pay an invoice.
Don’t see this page or button? Your role doesn’t include it. Ask your center’s owner or an admin to give you the role you need.

Top up the wallet

Use this when a student pays you money that isn’t for a particular invoice yet.

Open the wallet

In the sidebar, select Students, select the student, then open the Wallet tab.

Start the deposit

Select Deposit.

Enter the payment

Enter the Amount and choose the Method: Cash, Card or Bank transfer. Notes are optional.

Confirm

Select Confirm deposit. The deposit appears under Recent transactions, and it’s also recorded as a payment received.

Correct the balance

Use an adjustment to fix a mistake, for example a deposit entered twice. It changes the wallet only and isn’t recorded as a payment.

Open the wallet

On the student’s Wallet tab, select Adjust balance. The Current balance is shown at the top.

Enter the correction

Enter the Amount: a positive number adds to the balance, a negative one deducts from it. For example, enter -200000 to take 200 000 UZS off. The balance can’t go below zero.

Give a reason

Enter the Reason. It’s shown next to the adjustment in the wallet’s history.

Confirm

Select Confirm adjustment.

Use the balance on an invoice

Automatically

When your center’s billing policy has Auto-apply wallet credit turned on, Cohort uses the wallet to pay the invoices it generates each billing period, after any standing discount. To check the setting, select Billing Policy in the sidebar.

By hand

For any other invoice, for example one you created yourself or one issued before the student topped up, open the invoice and select Apply wallet credit there. See apply wallet credit to an invoice.

Wallet transactions

Recent transactions lists the latest changes to the balance, newest first, with the date and any note.
