Use a student’s wallet balance to pay an invoice, instead of waiting for them to pay in cash or by card. For the wallet itself — topping it up, adjusting it, or how it’s used automatically — see student wallet. By default, owners and admins can apply wallet credit to an invoice.
Don’t see this page or button? Your role doesn’t include it. Ask your center’s owner or an admin to give you the role you need.

Before you start

  • The invoice must be Unpaid, Partial or Overdue — not Draft, Paid or Void.
  • The student needs a balance greater than zero. Check it on the student’s Wallet tab.
If your center’s billing policy has Auto-apply wallet credit turned on, Cohort already does this automatically for invoices it generates. Use this for an invoice that wasn’t covered automatically — one you created by hand, or one issued before the student topped up.

Open the invoice

In the sidebar, select Invoices, then select the invoice.

Apply the credit

Select Apply wallet credit. Cohort shows the Wallet balance, the Amount due, how much Will be applied, and what’s Left in wallet — it applies whichever is smaller, the whole balance or the amount due.

Confirm

Select Apply wallet credit.
Applying wallet credit can’t be undone, and a wallet payment can’t be refunded. If the student paid you in cash or by card for this invoice, select Record payment instead.
If the student has no wallet balance, Cohort tells you instead of applying anything.
