A group can have a Capacity: the most students it takes. When you enroll students, Cohort checks how many seats are free. If there aren’t enough for everyone you selected, it enrolls nobody and shows “Group is at capacity — cannot enroll more students.”

How seats are counted

  • The group’s Students tab shows how many seats are taken, for example 12 of 15 seats taken.
  • Active and suspended students both hold a seat. A suspended student keeps their place until they’re dropped.
  • Students who were dropped, or whose enrollment was completed or transferred, don’t hold a seat.
  • It’s all or nothing. With 2 free seats, enrolling 3 students at once fails for all 3.
  • A group with no Capacity set has no limit.
  • The room’s own capacity doesn’t limit how many students you can enroll. Only the group’s Capacity does.

Make room

Choose whichever fits:
  • Enroll fewer students: select only as many as there are free seats.
  • Raise the capacity. In the sidebar, select Groups, select the group, then select Edit group from the Group actions menu. Change Capacity, then select Save changes. By default, owners and admins can do this.
  • Free a seat. If a student has left the group for good, drop them: see Suspend, drop or reactivate an enrollment. Suspending doesn’t free a seat.
  • Use another group: enroll the student in a different group of the same course.

If you chose a full group while adding a student

If the group you chose under Initial enrollment is full, Cohort still adds the student but doesn’t enroll them, and shows “The group has reached its capacity.”
Don’t save the form again: that can add the same student a second time. Close the form, make room in the group, then open the group and select Enroll students.
